Sync Appointments to Outlook Calendar

Staff users can use the Outlook Sync plug in to sync the calendar within their Symplicity system with some versions of Outlook. You must install these files as an administrator; if you do not have administrator access on your computer, please work with IT to successfully install this tool. The getOut Calendar sync tool is not compatible with the 64-bit version of Outlook, as it is a 32-bit program.

*After you have gone through all of the steps below, if it does not work, work with your UNH IT contact.

Note: Outlook calendar sync does not work with Macs. The version of Outlook that is made for Macs doesn't allow syncing programs to work with it. The Outlook version for PCs is the only one that does allow syncing.

Syncing your Wildcat Advising Calendar with your Outlook Calendar

  • When you put something on your Outlook Calendar, it will create an item in Wildcat Advising that will block your appointment availability
  • When a student schedules an appointment, it will show up on your Outlook Calendar

Activate Calendar Syncing in Wildcat Advising

  • On the left hand bar in your Wildcat Advising manager account, select My Account
  • From the top tabs, select My Custom System Settings
  • Scroll down and select On for Enable Synchronize for Advising Appt

  • getOut Calendar Sync Tool Files
  • Select Download
  • Save the file to your desktop
  • Unzip the file, save the contents to a new folder, and verify that the following files are included
    • GetOut-0.90.1-win32
    • Redemption_redist
    • vredist_x64
    • vcredist_x86
  • The file Redemption_redist is a zipped file. Unzip this file as well.

Check the bit version of your Windows installation

  • Click on the start menu
  • Right click on Computer
  • Click on Properties
  • In the pop up, you will see details about your system - you will see either 64-bit or 32-bit as your operating system

32-bit Operating System Sync Set Up

  • As an administrator, install the vcredist_x86 file
  • Open the folder that you unzipped the Redemption_redist file to
    • As an administrator, run the file named “install
    • On the pop up that appears, click on the install link
  • As an administrator, install GetOut-0.09.1-win32

64-bit Operating System Sync Set Up

  • As an administrator, install the vcredist_x86 file
  • As an administrator, install the vcredist_x64 file
    • Do not install this if you are running 32-bit Windows
  • Open the folder that you unzipped the Redemption_redist file to
    • As an administrator, run the file named “install
    • On the pop up that appears, click on the install link
  • As an administrator, install GetOut-0.09.1-win32

Integrating getOut with Outlook

  • Open the getOut application
  • Click Tools>Options, on the Account Tab set up the following
    • Location: https://unh-insight.symplicity.com/manager/sync/index.php
    • Username: Your email address
    • Password: You must set a password for this tool. To set a calendar sync password, in your Wildcat Advising account select:
      • My Account
      • Calendar Sync Password
      • Enter the new password then again
      • Submit

Before Syncing your Calendar

  • Before syncing your calendar, you should have an end date to recurring events in your calendar.
  • If you do not put an end date to these recurrences, each sync will take much longer because it will sync things many years out
  • Understand that anything in your Outlook calendar will create an event in Wildcat Adivising. Clean up anything in your Outlook calendar that you don't want created in Wildcat Advising.

Sync your Calendar

  • Click Tools>Options>Syncsync1

    • Select the Calendar item and deselect everything else that should not sync
    • Click the Details button next to Calendar
    • Calendar Folder - The default calendar is automatically selected. Click the Change button if you need to select a different calendar or create a new one
    • Ensure that Include sub-folders is unmarked
    • Select the timeframe to Sync Outlook appointments
      • We recommend "Since last week"
    • Do NOT change the remote name from event
    • Click OK

The initial sync will be larger than normal. Data is transferred in “packets” of data (i.e. – approximately 100 records can be synchronized at a time), so it may be necessary to request synchronization several times before the entire data set is saved to the device/application. Once the sync is complete, there will be a green check mark next to object synced. The date stamp of the last synchronization will display as well.

  • The Scheduler allows getOut to synchronize automatically. Choose between every five minutes to once a day with the “Synchronize every” drop-down
    • We recommend 5 minutes
  • Logging into Wildcat Advising is not necessary for the sync to occur when the Scheduler is set. getOut will have the login credentials and will complete the sync based on the selections in My Account > My Custom System Setting
