Secondary Account FAQ

What is a Secondary Account?

An IT Secondary Account is a second UNH Username/IT account that is assigned to an individual who has a business need that requires multiple accounts with varying levels of access. The individual to whom the secondary account is assigned is responsible for the appropriate use of that account. Appropriate use includes maintaining the security of the account password and not sharing the account or password with others.

Common Uses for Secondary Accounts:

  • Work Study Access – Allows a status employee (owner of account) to gain access to IT resources that will be used by a Work Study or temporary employee (user of the account).  The owner of this account logs into all systems for the user as the usernames and passwords are not shared with the work study/temporary employee. The user of the account is responsible for the appropriate use of the account while they are logged in.  The owner of the account (individual to whom the account was assigned) maintains the password, is responsible for the appropriate use of the account overall and takes responsibility for the actions of the user while they are logged into the account.  The owner of the account is required to keep audit records on the use of the account (who is using the account and when).
  • Test Accounts – Access to IT resources that differ from those associated with an individual’s primary account, normally with fewer privileges. The individual to whom the test account is assigned is responsible for the appropriate use of the account.
  • Administrative Accounts - Access to IT resources that differ from those associated with an individual’s primary account, normally with greater privileges. The individual to whom the administrative account is assigned is responsible for the appropriate use of the account.
  • Automated Email Process – Allows an email account to be tied to an external application, which is able to automatically send/receive emails. The individual to whom the email account is assigned is responsible for the appropriate use and monitoring of the account.
  • Account for Running Automated Job (Service Account)  - Allows an account to be tied to a network application or server, which is able to automatically run a job.  The individual to whom the account is assigned is responsible for the appropriate use and monitoring of the account.

How Do I Request a Secondary Account?

Secondary Accounts can be requested and modified through the Accounts Management System(Note: Do Not Use Internet Explorer). To request a Secondary Account, click "ADD" and select the "Request a Pool, Secondary, or Service Account" link and complete the form.  To modify or disable a Secondary account use the "EDIT" function and select "IT Account Modification Form".

Why do I have to use the Tracking worksheet for my secondary account?

If your department uses secondary accounts to give work-study employees access to secure information then you are required to track day to day usage of that account on the Secondary Account Log.  The primary reason is to create a audit trail so that if the account is hacked or used inappropriately the University is positioned to act quickly to stop any additional inappropriate actions.

Do secondary accounts expire?

Secondary accounts do not expire, however they will be terminated if you are no longer an active employee.  In addition each secondary account owner will be contacted regularly to ensure the continued need of these accounts.

I no longer need my secondary account, how do I terminate it?

If you or your department no longer require a secondary account, you can request that it be disabled through the Accounts Management System. (Note: Do Not Use Internet Explorer).  To disable a Secondary account use the "EDIT" function and select "IT Account Modification Form".

I need to access additional resources with my secondary account, how do I add this?

If additional resources are required for your secondary account, you can request additional access through the Accounts Management System(Note: Do Not Use Internet Explorer). To modify a Secondary account use the "EDIT" function and select "IT Account Modification Form".
