Qualtrics: An Overview of Qualtrics Research Suite for Survey Design and Administration
UNH has licensed the Qualtrics Survey Research Suite, a Web-based survey and data analysis service. This license provides the UNH community with a set of powerful online survey and research tools, and allows an unlimited number of surveys and survey responses annually. Our license also includes Offline Survey capabilities for use with tablet or smartphone devices. All UNH students, faculty, and staff are permitted to use the service for coursework, research, and all other University-related business.
The Qualtrics survey tools can be used for a variety of purposes, but there are certain kinds of information that should not be asked for, collected, or stored in the Qualtrics system due to security and legal restrictions. These types include:
- credit card numbers, bank account numbers, or other data to access financial accounts
- Social Security numbers, driver's license numbers, tax identification numbers or other similar "personally identifiable information"
- medical records as defined by HIPPA
- student educational records as defined by FERPA
- passwords used to access UNH or other computer services
- any other data defined as restricted under the USNH Data Classification Policy
UNH's instance of Qualtrics should only be used for surveys or other information gathering that are directly for UNH-related purposes, not for personal or commercial uses. Any use of Qualtrics for academic research is still governed under UNH policies for research and the use of human subjects. The Institutional Review Board has posted some guidance on using Qualtrics for human subjects research.
Please contact the Research Office to access these policies and for assistance. Users of Qualtrics are responsible for their own surveys and survey data, including proper handling of sensitive information when accessing or downloading data from the service.
UNH does not license all products that Qualtrics offers. Specifically, the following optional components of the Qualtrics Research Suite are not included in UNH's license. This is not an exhaustive list, but covers ones that users have asked about frequently:
- File Upload
- Salesforce Integration
- myCourses (Canvas) Integration
- SMS distribution
These items or others can be licensed separately from Qualtrics if there is a need, but costs must be paid by the individual or department using them.
UNH's license for Qualtrics includes access to the company's support services. If you are new to Qualtrics or need to learn about specific features and capabilities, you can access the online training and documentation at Qualtrics University - www.qualtrics.com/university/researchsuite/. In special cases, access can be granted to others with sponsored accounts. Contact the UNH IT Service Desk at 603-862-4242 if you have a special need.
A frequently asked question about Qualtrics is how to transfer ownership of a survey and its response data to another person when someone has left a department. Details are available on how to address this issue.
