Respondent's Hearing Preparation Checklist

1. Prepare Information:
a) Written information such as the incident report, police reports, and witness statements, etc. Bring all of the information to the hearing that you feel will clarify for the Hearing Officer/Board what you believe to have occurred and why you should be found not responsible for the alleged violations of the Student Code of Conduct.
b) Witnesses should be contacted before the hearing to confirm their attendance and explain their role in the hearing. If your witnesses are unable to attend your hearing, they can submit written statements that can be reviewed by the Hearing Officer/Board.
c) Provide a clear and detailed incident description - who, what, when, where, and how. This will help the Hearing Officer/Board understand your side of the story, regarding the alleged violations of the Student Code of Conduct. Refer to the incident report sent to you by the complainant.
2. Prepare Questions:
a) What do you want the Hearing Officer/Board to hear from your witnesses?
b) What do you want the Hearing Officer/Board to hear from the complainant?
c) Is there anything that the complainant said to you in the informal meeting that you want conveyed to the Hearing Officer/Board?
d) Do not assume that the Hearing Officer/Board will ask you all of the specific questions you want them to ask. If there is information that you want highlighted, you are responsible for presenting that information to the Hearing Officer/Board.
3. Prepare Your Thoughts:
a) What are your main points?
b) What is your strongest evidence that may help you be found not responsible for the alleged violations of the Student Code of Conduct that you want to make clear to the Hearing Officer/Board?
c) Judicial hearings can be intimidating. In an effort to make the best of a potentially stressful situation, take your time and gather your thoughts before speaking. If you are anxious, you may take a recess to take a few minutes to relax before continuing with the hearing.
4. Prepare Your Sanction Recommendations (if you are found responsible for violations of the Student Code of Conduct):
a) Be prepared to offer alternative sanctions to the Hearing Officer/Board. Consult with your Student Advisor when choosing appropriate sanctions.
