InfoEd Proposal Development Frequently Asked Questions
Q: How do I find a proposal?
To find a proposal, click on the "Search For" link in the left navigation of the portal window. Enter the appropriate search criteria which can include the proposal department, PI, proposal number or proposal type, and click the "Locate" button. Using the "Set" links will open a popup with an alpha split list for the selection. Account number is any of the fund numbers associated with the awards. Use the wildcard (*) to search for part of a term. For instance, type in "2007*" in the Proposal Number field to search for all proposals from 2007. Another option is to type in "p*" in the Award Number field to search for all program project awards. This method can be used for any text field within the search. If you still cannot locate a proposal, you may not have access to it. Each user is assigned at a security level based on department. If that proposal has transferred, you may no longer be able to see it. Also if it was inappropriately assigned, you will not be able to find it.
Q: What is “PD”?
PD stands for "Proposal Development". When you start a new proposal, you automatically enter into the "PD" system.
Q: What is InfoEd SMARTS?
InfoEd SMARTS is the link between your InfoEd Profile, keywords, and filtering criteria, and SPIN funding opportunities. You receive automatically generated SMARTS emails on a daily basis as funding opportunities become available which match your criteria. Each funding opportunity alert includes links to InfoEd's detailed program summary and the sponsor's website.
Q: I made a mistake in the creation of a proposal. Can I delete the proposal?
The InfoEd team can delete a proposal. Email a member of that team with the InfoEd Institution number.
Q: I’ve accessed my proposal, but I can’t make any changes. Why?
The likely cause is that two or more individuals are logged into that proposal. Only one user may be making changes at a time. When you are initially opening up the proposal, look for a yellow checkbox underneath the folder icon. If one is present, it means that someone else is in the proposal and you will be unable to make edits. To see who is in the proposal, click on the checkbox. Remember to always click the 'done' button when closing out of proposals.
Q: I’ve submitted a proposal to route, but now I can’t make changes. Why?
After a proposal has been submitted to route for review and approval, changes to the proposal may not be made until the route reaches the Grants & Contracts Administrator (GCA).
Q: I can’t find my PI/sponsor when I perform a search.
Only Pis and sponsors with a current proposal in the system can be "set" as search criteria. If you click the set link and don't see your sponsor or PI it does not mean they are not in InfoEd, it only means they don't have a proposal in InfoEd. If you believe there is an error and your PI/sponsor should have a proposal listed, please let us know.
Q: Why are my proposals showing up twice in the ‘show/list’ view?
If you use the 'show/list' feature, you'll notice that some proposals may be listed twice. This is a know InfoEd issue and it's being investigated. Only one proposal exists in the system; you may select either one to access the proposal.
Q: Do I have to upload a PDF file?
No, the system will convert the file uploaded to a PDF.
Q: Why can’t I access the Reviewer Dashboard from the email InfoEd sent?
When trying to access the Reviewer Dashboard from within the emails, 'View as HTML' must be enabled in order for the hyperlinks to function properly.
Q: How do I change personnel on a budget?
When deleting a person's appointment from the requested budget page, it deletes all appointments for that person. The person is also removed from the Personnel Tab. IMPORTANT: A PI must be selected on the Personnel tab before exiting the record or else the proposal will not be accessible via the new portal. If you delete an appointment, make sure you've only deleted the intended appointment, leaving the other appointments for that individual in tact.
Q: How do I add or change someone’s Role on the project? How do I change Personnel Type (Key Personnel, Non-Key, etc.)?
This can be done on the Budget Detail page. Select the Budget tab, then go to Budget Items. Click on the yellow folder next to the individual's name. Personnel Type and Role on Project may be changed under the Project Responsibilities section of this page.
Q: How do I add a consultant into the budget?
There are three steps you will need to follow. First, go into the "Budget Items" tab and add them as new Personnel. Do not list any salary of effort for them. Select "Other Significant Contributors" from the drop down and type in their role as "Consultant". Second, return back to the Budget Items tab and add in their costs under the category of "Non-Personnel" Costs. Third, go back to the Personnel tab and upload their biosketch.
