New Hire Information

PLEASE NOTE:  This paperwork and these processes are only for new hires, and SHOULD NOT be completed as a part of the application process.

Congratulations! If you have been directed here, it is because you have successfully be interviewed and selected for a student employment position in the MUB. This page is designed to consolidate all of the forms and instructions needed by new hires and their department supervisors. Please read and follow these instructions carefully.

****Please note that the federal I-9 Employment Verification Form requires original copies of valid forms of identification to be presented to your hiring supervisor. Without these forms of identification, you will be unable to complete paperwork and begin working. Please read the instructions carefully and bring the appropriate identification with you.

After receiving your position offer letter, be sure to return it signed and completed to your supervisor.  Accepting the offer will start the hiring process. Reply to Background Check Email

All MUB Student Employees are required to undergo a background check. You will receive an email from UNH Human Resources or the company HireRight asking you to respond with some information and consent for the background check. You must respond to this email in order for your background check to be completed and for you to be hired. If you do not receive this email, please contact your hiring supervisor. If you have additional questions about USNH policy and your rights related to background checks, you can get more information here.

**Employees are not eligible to work until AFTER the background check comes back.**

To be completed with your supervisor:

  1. Join MUB Communication Group
    You should receive an email inviting you to join the MUB Communication Group in WildcatLink. You need to log into WildcatLink and accept this invitation. Your log-in information on WildcatLink is your Blackboard/AD log-on information. The MUB Communication Group is used to send out mass communications to all MUB employees. Please make sure that your account settings are such that you will receive email notifications.
     

  2. Complete MUB Employee Standards Agreement
    Every employee is required to agree to the MUB Employee Standards Agreement. You will not be able to do this until you have received and accepted your invitation to join the MUB Communications Group on WildcatLink (See above).  Once you are logged in to WildcatLink, access the MUB Communications Group from your “involvements” area. Once you are in the group, go to the “Forms” section in the middle of the page.
     

  3. Complete the MUB IT Security Agreement
    Every employee is required to agree to the MUB Employee IT Security Agreement. You will not be able to do this until you have received and accepted your invitation to join the MUB Communications Group on WildcatLink (See above).  Once you are logged in to WildcatLink, access the MUB Communications Group from your “involvements” area. Once you are in the group, go to the “Forms” section in the middle of the page.
     

  4. Join SubItUp
    Every employee in each department of the MUB uses SubItUp to schedule shifts.  Your supervisor will create your user name and password to allow you to sign up for shifts.
     

  5. UNH Appointment Form
    This form is required by all new MUB employees at the time they are hired. It gathers important data the Human Resources department needs to “put you in the system”.  
     
  6. Campus Mailing Information Form
    This form is required by all new MUB employees at the time they are hired and gathers important data the Human Resources department needs to “put you in the system”. Fill in your name and USNH ID#, bring it to your supervisor and your supervisor can assist with the rest of the form.

To be filled out at OBA Support Services, Holloway Commons:

  • Your supervisor will give you a copy of the completed UNH Appointment Form and Campus Mailing Form to bring with you to the OBA Support Services to fill out the rest of the paperwork needed to hire you.
  • You will need to bring your original documents (passport, driver's license, social security card, etc) to fill out the I-9 Employment Eligibility Verification Form.  See that section below for additional information.
  1. Direct Deposit Authorization
    It is strongly suggested that you set up Direct Bank Deposit for your paycheck, rather than have your paycheck sent by mail in paper form. To authorize Direct Deposit, please download this form, fill it out and bring it with you when you go to OBA Support Services. At any time during your employment, you can change or update your direct deposit information using the WISE Payroll system that you will be shown during your training.
     
  2. I-9 Employment Eligibility Verification Form
    If this is the first job you have held on campus, then you are required to fill out the I-9 form. If you have previously held a job on campus, anywhere that you received a paycheck from the University of New Hampshire, you do not need to fill out this form. The I-9 is required by the U.S. Department of Homeland Security to document verification of the identity and employment authorization of each new employee (both citizen and noncitizen) hired after November 6, 1986, to work in the United States. I-9 Sample Form (for reference only)

    Please make note of the multiple forms of required identity that are needed to be viewed.
     

  3. W-4 Form
    If this is the first job you have held on campus, then you are required to fill out the W-4 form. If you have previously held a job on campus, anywhere that you received a paycheck from the University of New Hampshire, you do not need to fill out this form. The W-4 is the Employee Tax Withholdings Allowance Document that authorizes the withholding of appropriate taxes from your paycheck.
